ECONOCOM has put in place validations rules to make sure invoices and credit notes you send through Tradeshift contain all the information necessary for us to be able to process them as quickly and efficiently as possible.
- ECONOCOM Entity: The ECONOCOM entity billed is mandatory (on your purchase order or through your ECONOCOM contact).
- Supplier identification:
- For French suppliers, the SIRET number is mandatory
- For an European supplier, the VAT ID is mandatory
- For a non-European supplier, the national ID is mandatory
- The default tax representation is the one of the invoiced entity. If necessary, you must choose the fiscal representation of the country of the customer delivered.
- Document date: The invoice/credit note date is mandatory, can’t be in the future and can’t be prior to 10 days before submitting the invoice.
- Credit note: For credit note, the invoice number canceled has to be entered.
- Document number: The invoice/credit note number is mandatory and unique. It can’t be longer than 16 alphanumerical characters.
- Amount: The total amount (including tax) should be equal or higher than 0.
- Due date: The invoice due date is mandatory and can’t be prior to the invoice date.
- The delivery date is mandatory.
- The item reference is mandatory.
- The name of the delivered customer and his address are necessary.
- Payment means: Invoices will always be paid, based on the payment details that your customer has registered within its financial system. If you need these changed, then you should contact your customer directly.
- Mandatory information related to late payment penalties are mandatory in the "notes" field.
- Discounts and charges are authorized included at an existing invoice line, or by creating an invoice line. It is not allowed at header level.
- Only attachments in PDF format are accepted.
- Down-payment invoice are not accepted.
- Please note invoices will be systematically paid according to conditions negotiated.
- For faster process, please note serial number in the field "serial number".
As soon as a purchase order is communicated by ECONOCOM, suppliers have to add the PO number on the invoice:
The purchase order number needs to be on the invoice/credit note if communicated by ECONOCOM. The field is only at header level (meaning one purchase order by invoice).
